How FleetDesk OÜ handles personal information when you use FleetDesk and how to contact us about your privacy.

Who is responsible for your information

FleetDesk OÜ operates FleetDesk. You can contact us at privacy@fleetdesk.cloud about platform accounts, website security, or this notice.

When an organisation uses FleetDesk to manage its customers, drivers, vehicles, or contracts, that organisation determines the purposes of that processing. Contact the organisation handling your contract for its privacy notice and information about its use of your data. FleetDesk provides the platform used to manage those records.

Information processed by the platform

Platform account information can include your name, email address, phone number, language preference, organisation membership, and authentication records. Website requests also involve technical information such as IP address, browser information, and security events.

Depending on the features used by your organisation, its records can include contact and identity details, addresses, rental contracts, invoices, payments, uploaded documents and photos, vehicle information, location and mileage readings, and identity-verification results. Information can come from you, your organisation, or integrations enabled by that organisation.

Purposes and legal bases

We use platform account and technical information to provide access to FleetDesk, support users, deliver service messages, and protect the service against fraud and unauthorised access. Processing for service delivery is based on the applicable contract; security and operational processing is based on our legitimate interest in maintaining a reliable and secure service. Processing may also be necessary to meet legal obligations.

The organisation using FleetDesk is responsible for explaining the legal bases for its customer, driver, contract, tracking, and identity-verification activities. Where processing relies on consent, you may withdraw that consent without affecting processing that took place before withdrawal.

Cookies, browser storage, and external services

FleetDesk uses session and security cookies for authentication and request protection. Browser storage may also keep interface preferences and cached application resources. Disabling these features can affect sign-in and application functionality.

Pages load fonts from Google Fonts. Cloudflare services can support traffic protection and bot checks, and Google Maps is used for address suggestions where that feature is enabled. Requests to these providers can include your IP address and browser information; address suggestions also involve the address text entered into the feature.

Recipients and international transfers

Information is accessible to authorised users of the relevant organisation and service providers needed to operate the platform. Depending on configuration, providers support hosting, storage, email delivery, messaging, identity verification, error monitoring, maps, and other integrations. We may also disclose information when required by law.

External services may process information outside the European Economic Area. Contact privacy@fleetdesk.cloud for details of the providers, processing locations, and transfer safeguards applicable to your use of FleetDesk.

Retention

Retention depends on the type of information, the purpose for which it is needed, applicable legal obligations, and the instructions of the organisation responsible for the records. Account and operational information is kept as needed to provide and secure the service; records may need to be retained to meet legal obligations or resolve claims. Contact us or the organisation responsible for your records for the retention rules applicable to your information.

Your rights and complaints

Subject to the conditions in applicable data-protection law, you can request access, correction, deletion, restriction, or portability of your personal information, and object to processing based on legitimate interests. You can also ask about automated decisions affecting you and request human review where applicable.

Send platform privacy requests to privacy@fleetdesk.cloud. For information managed by an organisation using FleetDesk, contact that organisation; we can help direct your request. We may need to verify your identity before disclosing or changing personal information.

You may lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon) or the relevant data-protection authority where you live or work.
